As the Senior Program Manager, HR Document Management on the HR Data, Documents, and Digital Assets Team you will enable the HR organization to exercise authority and control with greater intentionality over its documents to increase business value and operational effectiveness, improving the employee experience, reducing risk in the document management ecosystem, and continually innovating to reach its strategic goals given that quality documents are vital to day-to-day operations and recognize documents as a valuable and strategic asset.
You will lead a holistic document management strategy, establish a change management and governance approach, and drive document lifecycle management best practices across HR. You will also engage through stewardship, key strategic partners, and stakeholder communities globally to foster an understanding of reliable and responsible document management methods and standards, promote transparency and collaboration to break down silos, empower users with standardized templates they require for business processes, and mature the organization to treat documents as an asset for the benefit of Microsoft and its employees.

Document Management Strategy and Program Maturity: As Sr. Program Manager, HR Document Management, you will develop the strategy, create clarity, and influence the maturity over time within the HR organization so it can realize a proactive documents management program that is compliant, meets corporate policies and procedures, legal and regulatory requirements, and provides mechanisms for continuous improvement and efficiencies. Having the ability to know when the Microsoft HR organization is achieving the HR Documents strategy is critical for acknowledging achievements that are made and understanding adjustments that may be required. There will be key foundational milestones that will drive change and advance maturity within the organization.
Document Lifecycle Management: You will enable the practice for effective document lifecycle management through physical or electronic document creation, distribution, storage, retrieval, archiving, and deletion to meet business needs, technical capabilities, and legal requirements as a primary function for this role. To deliver success, you will standardize and create a holistic approach to template management, document retention and deletion, and incorporate the operational functions into the rhythm of business, reduce impacts to business operations, and to meet regulatory and legal compliance to limit overall risk to the business.
Document Governance: You will be embarking on a multi-year journey with the HR Data Management PM, HR business, our Corporate Records Management, and Microsoft Digital Engineering partners to realize an end to end solution to support HR processes globally for creating, managing, and storing personnel documents throughout the employee lifecycle, which will incorporate template and electronic signature management and governance, along with a single source document storage to integrate data minimization practices and ensure retention standards are in place. You will function in a lead capacity to ensure business requirements and project milestones are being met and will create risk-based reporting for leadership awareness and decision-making.
- 7+ years work experience with document management or records management or information management with demonstrated knowledge in a large-scale or global capacity for a major services organization, with a combination of the following: document lifecycle management, corporate records management, and governance, risk management, compliance, or related field OR a Bachelor's Degree in Business, Information Systems, Records Management, or related field.
- Excellent written, verbal, and presentation skills at all levels of the organization with the ability to deal with ambiguity and complex problems, resolving conflict, and translate short and long-term strategic roadmaps to present and influence HR and Engineering leadership
- Familiarity with the Data Management Book of Knowledge (DM-BOK) and CMMI Institute Data Management Maturity (DMM) Framework
- Understanding of global data protection laws, standards, and associated frameworks (e.g., GDPR, HIPAA, CPA, etc.)
- Experience with HR organizational processes such as recruiting, employee data lifecycles, HR service delivery, compensation and benefits programs, diversity & inclusion, learning, and/or HR consulting
- Experience with SAP SuccessFactors HR tool suite, including Employee Central
