About the job

The Mom Project is excited to partner with our client, a leading provider of digital investing solutions, is seeking an Office Administrator to expand our administrative support and join our growing team. The candidate will work across departments and report directly to the Chief People Officer. The Office Administrator is responsible for assisting the Chief People Officer in managing the day-to-day HR functions, including recruitment, onboarding, payroll, and employee training and development. This role is also responsible for ensuring that all of the office administrative functions are effectively addressed, including bookkeeping, expense reports, meeting scheduling, travel arrangements, supply and equipment purchasing, file and record management, and other general administrative support and related activities. The candidate will work with all departments to provide a people-centered approach to ensure efficient operations that align with the organization’s values, goals and objectives.

Responsibilities

Human Resources

  • Draft and post of job advertisements, schedule interviews, track applicants, and coordinate pre-employment background investigations and professional reference checks.
  • Prepare documentation for new hires, or changes in pay, status or benefits.
  • Coordinate new employee and intern onboarding, office access, equipment and supply purchases, and orientation.
  • Handle time sheets, time off and leave requests, and payroll entries.
  • Assist employees and managers with time off and leave management.
  • Coordinate and research training and development opportunities.
  • Recommend and plan programs and events to foster team building, morale, and inspiration.

Office Administration

  • Provide organize-wide general administrative support, including travel arrangements, meeting scheduling, supply and equipment ordering, inventory tracking, document preparation and retention, and other related general office duties.
  • Responsible for general office management, including office layout and buildout, utilities, security protocols, and maintenance and repair services.
  • Assist Finance Department with day-to-day bookkeeping, preparation of reports, and vendor, contractor and supplier management.
  • Handle monthly employee business expense reimbursements and credit card expense reports.
  • Support as needed administrative tasks for department projects.

Qualifications

  • Associate’s or Bachelor’s degree preferred in related fields, such as human resources, business administration, information technology, or finance.
  • Minimum high school diploma and at least 2 to 3 years of office administrative experience.
  • Working knowledge of HR and office administrative processes.
  • Competency in Microsoft Office suite and familiarity with or fast aptitude to learn HRIS, accounting, collaboration and communication platforms.
